Calendar/Email Update – Where it’s @

[Oct. 9, 2012] Tick…tick…tick…only two weeks until the implementation of the new email/calendar system. As the faculty and staff email pilot continues, training materials are being readied and support channels are being finalized and put into place.

Faculty and Staff Email Pilot Continues to Fly

The email/calendar pilot continues to fly, with a number of users across the College joining in last week. Additional users will be added this week as well. There has been a bit of turbulence related to the migration process, but we are learning and making improvements as we go.  So far, the response from the users who have joined the pilot has been very positive—and I’m happy to report no one has yet requested a parachute.

Training/Support Materials

In advance of the move to the new system, we have posted some training and reference resources for users who would like to familiarize themselves with the tools and features that will be available to them in the Exchange environment.

If you’re thinking of using one of the Outlook clients, the resources that are listed from Lynda.com are excellent. Topics include everything from Essential Outlook Training to Time Management with Calendar and Tasks. One of the things I like best about these training modules is that they are broken up into sections so that you pick and choose individual components of a course without having to go through the whole thing. For instance, if all you want to know about is how to use message rules, you can access that section of the course directly.

Looking for an Outlook Client?

For College-Owned/Leased Computers

As communicated previously, running an Outlook mail client will give you the richest user experience. If you are running a Sheridan image on your computer, Outlook is likely already available to you and is included as part of the Microsoft Office Suite.  If Microsoft Office is not installed on your college-owned/leased computer, or you want to upgrade from an older version, you can download Microsoft Office 2010 (Windows) or Office 2011 (Mac) by accessing the ‘Software Installation’ link in AccessSheridan.

For Home Use

Sheridan staff who need a copy of Microsoft Office for home use, can take advantage of some great discounts from e-academy. Office 2010/Office 2011 are available to download for less than $10 each. More details are available by following the e-academy link in AccessSheridan.

Summary of Calendar Meetings

During the week of September 24, I.T. staff held a series of meetings with executive assistants and other users who manage calendars on behalf of other users. The meetings were very successful and I.T. is working hard to address the concerns that were raised at these meetings. We are currently exploring the feasibility of establishing designate rights on behalf of these users in advance of the go-live date and are also creating some workshops for users to help them re-establish their calendars. Details about these workshops will be available next week.
