How to Set Up A Meeting in Calendar (Mac OS X)

The instructions below are for users who use the Mac's native Calendar app to manage their meetings and events for their Sheridan Exchange account.

  1. Open Calendar and double click inside the day you want to create a new entry.

  2. The New Event Window will pop up where you will enter the appointment details.
    • New Event: type the name of your meeting/appointment
    • Add Location: not used (Sheridan's Exchange server treats locations as Invitees so room details must be added there - see step 3a below)
    • Add Invitees: used to invite other people from Sheridan and/or to book meeting rooms (see step 3a and 3b below).


  3. Adding Invitees
    1. To book a meeting room for your appointment, you can view available rooms by typing the campus prefix code (followed by a dash) in the Add Invitees field. The first two letters of the code correspond to the campus, the next set of characters identifies the room. Campus prefix codes are as follows:
      • Davis Campus: br-
      • Hazel McCallion Campus: mi-
      • Skills Training Centre: ir-
      • Trafalgar Road Campus: oa-
    1. To invite other people to your meeting, begin by typing their first or last name in the Add Invitees field and select them from the list of users returned by the system.
  4. add delegate

  5. Complete any other details associated with your meeting. You can set reminders, recurrences and add notes or attachments. When you are finished click Send.
