Latest Employee Project News

  • [Nov. 2, 2012] I.T. has now completed the migration of all employee email messages from the old system to the new Exchange email system. If anyone believes that their mail messages did not transfer correctly, please contact the help desk at helpdesk@sheridancollege.ca with the list of the particular folders or messages that are believed to be missing. Before contacting the help desk, please verify that the folders/messages in question actually exist in the old system. The legacy email system can be accessed at: https://oldmail.sheridanc.on.ca.

  • [Oct. 15, 2012] We are now only one week away from the launch of the new calendar/email system. You will receive email later this week with details on how to access the new system. [read more].

  • [Oct. 12, 2012] We have recently received some inquiries as to why we can’t migrate users’ Oracle calendars to our new Exchange environment. We would like to provide further explanation as to why this is problematic. [read more]

  • [June 18, 2012] We have just wrapped up meetings with our vendor-partner where we finalized the system architecture and developed an implementation plan.

  • Based on an RFP process and evaluation, we have chosen Microsoft Exchange for Sheridan's replacement email and calendar platform. As a reminder, we will implement this platform on-premise for faculty and staff. We are currently validating the architectural approach and will begin implementing the system shortly.

  • You can help! As was mentioned during the town hall meetings, the migration
    of data from the current email system will take some time. In order to meet
    our tight timelines we're asking you to please review your email to clean up
    any messages that you no longer require before we begin the data migration.

Sheridan's I.T. department was tasked with selecting a new email and calendar system for Sheridan staff and students. We were looking to satisfy user expectations with an integrated solution that was functional, flexible and stable. Based on an RFP process and evaluation, Microsoft Exchange was chosen for Sheridan's replacement email and calendar platform for staff. The student system is being replaced with the email and calendar services offered through Microsoft Office365 (see the Student and Alumni tab for more details).

Staff Email and Calendaring – Project Objectives

The objectives of the staff email and calendaring project were to evaluate, acquire, and deploy an on-premise solution that:

  • Provided email and calendaring functionality within a single unified product for all active staff, faculty, and administrative users.
  • Ensured full featured support for the widest possible range of client software, including Microsoft Outlook.
  • Ensured full email and calendaring support for the most popular mobile protocols and devices, including but not limited to: ActiveSync (Windows Phone, iPhone/iPad, Android phones and tablets) and Blackberry Enterprise Servers.
  • Provided a full featured and easy to use web-based interface.
  • Allowed for Sheridan to maintain control over the infrastructure, security policies, disaster recovery (including backup and restore) and operations of corporate email.

When Will the New Systems be in Place?

The new email systems are scheduled to be implemented during the fall semester break week in October (Oct. 22 -26).

Student and Alumni Email/Calendar

Starting on Friday, November 2 at 6 p.m. we will begin routing student and alumni email to the new Office 365 environment. Detailed information is available here.

office 365We are pleased to announce that this November Sheridan will be replacing the current email services for students and alumni with the email and calendar services powered by Microsoft Office 365 Cloud Services.

With Office 365:

No more cleaning out your inbox! You get a web-based email account with a 25GB mailbox that you can keep for life.

Better coordinate your schedule by sharing calendars with classmates, team members, and teachers.

You will have secure, anywhere access to email and calendaring from your PC, Mac, smartphone or tablet.

Other services offered in the Office365 platform are under evaluation and may be added in the future.

What You Need to Know

When will the new system be in place?
Due to challenges provisioning our over 300,000 student and alumni accounts with Microsoft’s Office 365 Cloud Services, we will be introducing the new student and alumni email and calendar offering on or before November 5, 2012. We will provide further information updates as the project progresses.

Will my old email be available in the new system?
We will not be transferring existing email to the Office 365 platform. However, the legacy email system will be available for a number months following the transition to allow you to move your own email if you wish. Your old email will be accessible through Sheridan’s web mail interface at: https://mail.sheridanc.on.ca until April 30, 2013.

We are in the process of establishing some recommendations and creating specific instructions to help users transfer their messages from the old system to the new. We will be issuing another communication prior to the launch of the new system with more details.

Will my Sheridan email address stay the same?
The domain referenced in your Sheridan email will be changing to ‘@sheridancollege.ca’, however, any mail sent to you with your old email address (e.g. userid@sheridanc.on.ca) will still be routed to your inbox. These redirects will be active and available indefinitely. Any new email you send will appear to recipients with your new ‘@sheridancollege.ca’ email address. If you have references to your current Sheridan email address in résumés, business cards, electronic signatures, etc. you should update them to reflect the domain change.

I currently have my Sheridan email forwarded to my personal account on another system—will my Sheridan email continue to be forwarded?
For Sheridan Alumni, email forwards will be preserved and carried over to the new Office 365 environment. Unfortunately, mail forwards for current Sheridan students will not be carried over to the new system. If you are currently a Sheridan student and forward your Sheridan email to another account, you will have to re-establish the forwarding email address on the new system.

What is the maximum message size, including attachments, that be sent or received?
Under the new system the maximum size of an email you can send or receive (including attachments) is 25MB.
