Webex Meetings Update – You’ll Need to Update Your Calendar Entries & Restore Delegate Access

[Updated Aug. 19, 2019] On the weekend of August 17, IT staff will be updating our back-end Webex infrastructure and moving everything over to a new portal. This update will provide us with more robust administrative features and will pave the way for us to roll out other Webex features and services in the future.

User Impact

As a consequence of this upgrade, users will need to take the following actions:

  1. Any Webex meetings that you have booked in your calendar beyond August 17 will need to be updated to re-establish the link between the calendar entry and WebEx (see instructions below).  You will need to do this following the upgrade.
  2. Any existing Webex meeting recordings you have won’t be carried forward after the update, so we recommend you download a local copy. IT will also be creating an archive of all existing recordings on the system, but, unfortunately, we cannot carry them forward to the updated portal.
  3. If you allow someone else to schedule Webex meetings on your behalf, you will also need to re-establish Webex delegate access. Complete details via the link below.

Updating Your Calendar Entries

Updating your calendar entries to re-establish the Webex linkage is very straightforward. Simply open the calendar entry for your meeting in Outlook and select the Add Webex icon in the toolbar and make a selection from the dropdown menu – Add Webex; Add Personal Room; or Add Personal Conference, as appropriate.
