Project Overview

The objective of the onecard project is to create and provide a multi-purpose ID card for students, staff, faculty, visitors and contractors. Currently, the Sheridan onecard is a multipurpose identification and proximity access card for students and staff. It provides a consistent method of identification that will give additional means of establishing a safe and secure environment for students and staff on campus.

Phase 4 of the Project is Currently Underway 
(September 2014 - September 2015)

After creating separate offices for onecard production and purchasing a financial transaction system through Heartland Campus Solutions, the team is ready to focus on implementation and testing.  Phase four will focus on:

  • Changing templates for onecards to Student, Employee, Student/Employee and Vendor
  • Install My Photo (photo upload module)
  • Replace EpiSuite with Heartland Photo ID software
    • will need integration with c-cure, papercut, peoplesoft
  • Re-carding people in joint Student and Employee roles
  • Install and do extensive testing on hardware
    • Quattro’s  (Health services, test centre, student union, library, laundry)
    • RFID readers in bookstore and cafeteria.

    • Tablets on shuttle Bus
  • Install core software modules for financial transaction onecard system
    • Photo ID software

June 2015

  • Heatland payment system integrated with PaperCut pay-for-print system giving students the option of using their general purpose cash account (aka 'Flex' account) for printing payments. Previously, funds for printing had to be deposited directly into the PaperCut account and could only be used for printing.

May 2015

  • onecard enabled for payment of laundry facilities in Davis campus student residences

April 2015

  • onecard enabled for payment of laundry facilities in Trafalgar Road campus student residences

November 2014

Project Background

Phase 1
(August 2011 - October 2011)

Beginning in August 2011, Sheridan began piloting the Sheridan onecard, a multipurpose identification and access card for students and staff. The goal was to introduce an ID card that would provide a consistent method of identification while delivering an additional means of establishing a safe and secure environment for students and employees on campus.

The pilot phase of the project included staff and students at the Hazel McCallion campus as well as a group of early adopters that include IT staff and Sheridan executive and board of governors members. 1433 cards were issued in the pilot phase — 1113 students, 227 employees, and 93 early adopters.

Upon completion of phase 1, the following objectives were completed:

  • provided a onecard to students/staff/faculty/vendors occupying Sheridan’s Hazel McCallion Campus (HMC) for the Fall of 2011
  • utilized the existing systems to create and manage student ID/access cards
  • developed and implemented business and technical requirements to support the inclusion of employees and other constituents into the photo ID system
  • supported global print release (with the use of onecard) for HMC for the Fall of 2011

Phase 2
(November 2011 - November 2012)

With the successful introduction of the onecard to students and employees at the HMC campus, phase 2 of the project provided onecards to constituents across Sheridan's four primary campuses.

Key Metrics

  • 14,814 cards were issued to new students from January 2012 - September 2012
  • 3180 cards issued in March/April and an additional 1820 cards were pre-printed in July/August for returning student pick-up
  • 780 onecards were produced for employees

Upon completion of phase 2, the following objectives were completed:

  • provided a onecard to all new Students (part or full time, excluding FCAPS Students) in the Winter, Spring and Fall semester
  • provided a onecard to all returning students (part or full time, excluding FCAPS) who were expected to be attending Sheridan in the fall 2012 semester
  • provided a onecard to all employees/vendors (including FCAPS faculty) prior to or during the Fall 2012 semester
  • issued onecards to a pilot group of FCAPS students at the HMC campus
  • issued onecards to external academic partners at the HMC campus, including:
    • Mohawk students at HMC
    • School within a College students at HMC
  • provided onecards to dual credit students at all campuses
  • supported global print release (with the use of onecard) for Trafalgar, Davis & Skills Training Centre campuses for all students and employees
  • developed online consent utility for photo use
  • established a consent policy/process for students under 18 years of age
  • introduced a utility for students and employees to upload a photo for their onecard
  • deployed point of sale terminals (POS) in the ITSCs at all campuses to facilitate payment for replacement ID cards (students had to go to Office of the Registrar's service desk to pay the replacement fee previously)
  • terms and conditions of onecard were established and approved
  • provided a utility that allowed the Athletics Centre to verify (with the use of onecard) an individual’s eligibility to use the facilities — this utility was also employed at the Mississauga YMCA to verify edibility of HMC students

Phase 3
(April 2013 - September 2014)

With the successful introduction and distribution of onecards to all Sheridan students, employees and external contractors in the first two phases of the project, phase 3 will focus on:

  • investigating a financial transaction system for meal plans, bookstore purchases (books, spirit-wear, etc.), resident laundry facilities, and other purposes (e.g. off-campus merchants)
  • encouraging the use of the photo upload utility to new Sheridan students and employees
  • communicating and implementing the policy that all constituents must display their onecard while on campus
  • developing queries to help staff determine onecard eligibility and gather onecard metrics (e.g. number of cards issued; who has yet to receive a onecard)
  • evaluating processes to issue onecards to all FCAPs students (FCAPs students at HMC were part of a pilot in phase 2 of the project)
  • developing a mobile application for Security and the Student Union (Pub) to verify an individual’s status/eligibility to use the facilities
  • establishing a dedicated onecard office to administer and grow the onecard program
